Ship Shape fully complies with the provisions of the Data Protection Act 1998 when processing data about you and/or your company. There is a legal requirement for Ship Shape to collect and store certain information (such as proof of identity) in order to demonstrate that a worker has a right to work in the UK and be paid as such by Ship Shape.
Collection and Use of Personal Information
In order to provide a payroll service to the self employed or make salary payments to employees, and to comply with current employment and tax legislation, Ship Shape is required to collect and store certain personal information.This includes, but is not limited to information such as your contact details, bank account and transaction information, National Insurance number, ID and Right to Work documents. Information is collected via MyShipShape online account, online forms/surveys, email, over the phone, or by post.
Your personal information may also be used to provide support and guidance and from time to time to offer you additional services and information from Ship Shape.
Any data entered via online forms/surveys, or directly into your MyShipShape account is protected with SSL Encryption Certificates (secure socket layer technology) issued by leading certificate authorities Thwate. This ensures all data transferred between users and our systems is encrypted.
All data received via post or fax will be uploaded to our systems by trained staff then the physical copies securely destroyed.
Storage and Protection of your personal data
All your data is held either within the MyShipShape system or the Ship Shape CRM system, both of which operate from secure servers.
We maintain strict security standards and procedures with a view to preventing unauthorised access to your data by anyone, including our staff. We use leading technologies such as (but not limited to) data encryption, firewalls, virus checking and anti-spyware programs, server authentication, user profiles and passwords to protect the security of your data.
Regular staff training on data protection and privacy ensures that staff are fully aware of their responsibilities in regards to the protection of your personal data.
Data within your MyShipShape Account
The MyShipShape account holder is ultimately responsible for administering and safeguarding the usernames and passwords used to access your MyShipShape account. You should log out of your account after you have finished any given session, especially if you are on a public computer.
Read only access to your MyShipShape account is available to specific staff members but is strictly controlled by passwords and IP address restrictions. The use of this access is for assisting with the system, and offering support when necessary.
Collection of Non Personally-Identifiable Information
When using our websites Ship Shape collects the following information to help us gather statistics and improve performance.This information cannot be used to identify you individually:
IP addresses: every computer connected to the Internet is provided with a domain name (e.g. earthlink.net) and an IP Address (e.g. 184.108.40.206). When a visitor requests a page from within the MyShipShape website, our Web Servers automatically identify and log the HTTP request that is made to our Web Server.We collect IP information in order to administer our website and gather statistics to improve performance.
Cookies: cookies are tiny text files stored on your computer when you visit a website and cannot harm your computer.Cookies cannot look into your computer to obtain personally identifiable information or read information on your hard drive. Ship Shape uses two types of cookies:
