Efficient payment processing

We pride ourselves on the technical efficiency of our operations and provide all partner agencies with a secure web based interface (‘extranet’) which is used to instruct Ship Shape which workers to pay and how much. Alternatively we can work with an agency’s bespoke, secure system. When we receive proof of transfer / remittance advice we make immediate electronic payment to the workers, by BACS, FPS etc.

We make any necessary deductions from the worker’s pay and send them confirmation of pay by SMS, email and publication on a secure personal extranet. Our extranet allows workers to view their own historical activity statements, pay summaries, tax returns, expenses, insurance claims and year-to-date tax position. Access to this information and our ‘first-call’ pay enquiry service significantly reduces the worker enquiries reaching our agency partners and increases worker satisfaction.

Agencies benefit from a secure extranet providing secure data transfer as well as extensive online ecommerce facilities integrated with HSBC, including card payment and direct debit. Ship Shape is also a BACs Approved Bureau and therefore able to manage agencies’ tax reconciliation and payments to workers on PAYE; self employment and even workers paid through other payroll companies.

The extranet access also allows agencies to insert account or job references for every transaction, thereby establishing historical online labour cost tracking by account / and by operative. Historical activity statements, remittance slips and funds transfer details for each worker are published to the secure agency extranet eliminating all accounting discrepancies. Agencies may choose to further upload original worker timesheets or invoices to complete online records. If an agency so chooses the entire transactional history of every operative paid via Ship Shape can be housed electronically with zero expense to the agency, complete security and complete ease of access.

Account Management

Consultants are given a bespoke Ship Shape email to register workers for fast payroll processing (e.g. agency1@shipshapepay.com) and will have three key points of contact, at least one of whom will always be contactable and will be able to discuss your account: Account Manager, Finance Manager and a Ship Shape Director. We pride ourselves on our professional client account management and reputation for responsiveness.

Compliance

Ship Shape is an entirely UK based company, holding corporate professional indemnity, public and employers liability insurance. (We are HMRC certified for simple CIS gross payment where these are applicable). In each case we identify the individual circumstances of each worker and then pay them via an employment contract or a subcontract to those genuinely in business on their own account. We collate evidence of bona-fide self-employed behaviour and events (no mutual obligation, no control, right to substitute, financial risk) to support the actuality of our contract with all subcontractors, ready for any employment status challenge.

Our terms completely remove CIS compliance, employment status, debt transfer and employer liabilities from the partner agency.

Commercial Agreement

Ship Shape Pay is entirely funded by the savings made by better organised workers. Our services to Partner Agencies are therefore completely free. Further, we pay our partner agencies timesheet administration fees on a case by case basis and look forward to discussing this with you.

The cost for workers starts from as low as £9.90 - £16.90 per week plus just £2.99 for extensive insurance. Even after these costs, we find that properly managed expenses and tax returns generate workers a profit compared to managing their own affairs.
